Preparing for your visit

After scheduling an appointment, you will receive a HIPAA compliant text link where all new patient paperwork can be completed and e-signed in advance of your child’s visit.

We regret that we are unable to see patients who have not completed their required medical paperwork prior to their visit, but we will gladly help you reschedule.

What to expect at the first visit

We invite you to enjoy an extended appointment at your child’s first well visit with us. We do this not only to provide a comprehensive physical examination, but also to truly understand the factors that influence your child’s wellness. These factors include: family medical histories, safety of the home environment, and social determinants of health. Some parts of these questionnaires may bring up sensitive information, and we will respect each family’s unique journey as we partner together in health.

Please arrive 10 minutes early and be sure to bring any questions with you! It is our goal for parents to leave this visit feeling empowered and confident about the foundations of your child’s health.

Insurance

Your health insurance plan will determine whether our clinic is in or out of network. We accept most PPO (Preferred Provider Organization) insurances found in the Denver area. Please note that copays are due at the time of service.

Note: Lactation appointments are scheduled for both the mother and the infant, and your insurance company is billed separately for each of these visits. Each patient is responsible for any copays or deductibles.

All required forms should be completed through our HIPAA compliant online system. Please ensure your child is registered with our patient portal and all documents are completed prior to your arrival. We regret that we are unable to see patients who have not completed their required medical paperwork prior to their visit, but we will gladly help you reschedule.

Office policies

Castle Pines Pediatrics believes that vaccines play a vital role in protecting your child’s health. Our practice follows the CDC and AAP Guidelines for childhood immunizations. Dr. James and Dr. Mulhausen vaccinate their own children on time, every time, because vaccines save lives.

Any family refusing vaccines for non-medical reasons should seek medical care at another clinic better aligned with your immunization philosophy.

We understand the unexpected can keep you from attending a scheduled appointment. Please notify us as soon as possible, and we will work to reschedule your visit at a mutually convenient time.

We encourage you to reserve your child’s next check-up during your current visit in order to select the day and time that work best for your schedule.

Failure to appear at your scheduled appointment time without advance notice will incur a $50 no-show fee. No-show fees are not covered by insurance companies and will be the responsibility of the patient. Patients who no-show 2 or more times in a year are invited to establish care with another medical home.

Despite our best efforts, sometimes medical procedures cannot be completed as planned. We understand that it may be frustrating and inconvenient to have to schedule another visit, but please know we have your child’s best interest at heart. We ask that you respect our policy to not restrain or otherwise cause distress to a child in order to complete non-emergent medical work.

We are happy to accommodate your need to reschedule if you are unable to complete your paperwork in advance of your appointment.
